🔍 The Challenge: A Tool Is Only as Strong as the People Behind It

Reward Gateway | Edenred employees were using different platforms in different ways, leading to silos, inconsistent communication, and reduced collaboration.

As part of Edenred’s Coming TogethER integration initiative, it was time to move to a unified, secure, and scalable platform: Microsoft Teams. But this shift wasn’t just about technology — it was about people.

Without clear, confident communication and enablement, the transition risked confusion, resistance, and lost momentum.
Our goal was to create a seamless, supported shift, so every employee, no matter their region or tech comfort level, felt confident in the change.

📌 Background: One Platform to Power a Unified Future

With Edenred’s global ecosystem built on Microsoft 365, the move to Teams was essential for collaboration, security, and scalability. But alignment alone wasn’t enough — adoption had to be meaningful.

I led the internal engagement and change communication strategy for this rollout, partnering closely with IT, leadership, and regional stakeholders to bring the transition to life with clarity, empathy, and momentum.

From pre-launch to post-go-live, I owned the engagement and communications journey, ensuring employees not only understood the how of the transition, but believed in the why.

Key initiatives included:

  • Developed a 4-phase rollout framework:

    • Pre-Launch Awareness

    • Training & Preparation

    • Go-Live & Support

    • Post-Launch Optimization

  • Crafted an employee-first narrative tied to our EVP and Coming TogethER strategy

  • Used empathy-led messaging to reduce friction and foster buy-in

  • Built and maintained a full editorial calendar across boom!, SmartHub, Connect60, email, and digital signage

  • Created tailored messaging for key audiences, including:

    • “Have You Tried MS Teams Yet?”

    • “A Call to Managers: Preparing for the Transition”

    • “Key Dates and Timeline for the Switch”

Training & Adoption Support

  • Launched a centralized Teams Hub with:

    • Recorded workshops, video demos, FAQs, and how-tos

    • Curated resources for different tech comfort levels and roles

  • Hosted live Q&A sessions and department-specific training

  • Delivered manager enablement content via Town Halls

  • Partnered with the Executive Leadership Team to deliver visible, strategic communications

  • Showcased the transition during global touchpoints and town halls

This wasn’t just a tech switch — it was a behavioral shift that stuck.

  • 🎯 100% of major Slack channels migrated to Teams during Phase 1

  • 👥 100% of departments transitioned to Teams in Phase 2

  • 🎓 90% participation in live and on-demand training

  • 📉 Slack usage significantly declined, with admin-only settings introduced in Q1 2025

  • 💡 Manager adoption accelerated through Connect60 spotlights and direct support

Change only sticks when communication connects.

This project transformed a required migration into a cultural moment, reinforcing collaboration, communication, and unity across regions. It wasn’t just a move to Microsoft Teams. It was a move toward more connected, consistent, and empowered global teamwork.
